Job description
Mission and TASKS
Under the supervision of the Country Director/SOAPII Project Manager and the Deputy Project Manager, in coordination with project partners, the project assistant will be mainly in charge of the following activities:
Perform transversal activities in the SOAP II project framework:
- Provide administrative and operational support on the implementation of the project
- Maintain up-to-date files and records of project documentation
- Ensure proper archival methodology for the Project team and implementing partners (that they have access to shared folders/file (drive) and that regular backup of key documentation is performed)
- Conduct research and gather relevant data as requested
- Maintain and update the contact list
- Take meeting minutes
- Translate documents from Mongolian to English and vice versa
- Provide interpretation during meetings as needed
- Draft presentations/manuals/brochures as requested
- Provide logistical support for workshops and meetings
Assist the marketing and communication specialist in various tasks
- Assist in the organization of communication activities, events, and campaigns
- Research Visibility items, compare options, collect quotations, and follow up on the items ordered
- Maintain an inventory of visibility materials and perform regular physical stock checks
- Draft articles, briefs, and other communication materials as required
- Participate in the Open Days/Expos
- Design and order name cards as requested
Assist in implementing the marketing activities: Promote existing products, support the new product development process, customer needs
- Manage the Project Facebook page “Dulaan shiidel” /SOAP II
- Generate digital and print advertising materials and maintain an archive

Analyze regular feedback surveys from project customers, monitor results, and apply insights from data analysis to better target and engage the market.
Supporting other SOAP II team members when needed, especially:

The technical specialist in conducting winter monitoring

The community and engagement specialist in the organization of the simple solutions campaign

The market and operations specialist, in partnership with actors, MoU and contracts, and the tracking system of the EE products
- The stakeholder and partner engagement officer in correspondence and organization of events/meetings with institutions and government members
- The project specialist in the report writing
Work closely, with a sense of diplomacy but rigor, with the Project Manager & Deputy, partners, Geres’s SOAP team, on implementation of activities and compliance
Respect and ensure the respect of Geres' internal Admin and HR procedures and Mongolian legislation with relevant stakeholders
Fulfill other duties as requested and/or needed by Geres’s Deputy Project Manager and the Country Director
Job requirements
Required profile
Education and experience
- Bachelor’s degree in Business Administration, Communication, Marketing, or a related field
- Excellent written and verbal communication skills (English and Mongolian)
- Experience in marketing and project implementation is an asset
- Appreciated: experience in the development sector or working with vulnerable populations
Skills
- Professional English, with excellent writing qualities
- Precision in work, follow-up, and report writing
- Analytical and synthetic abilities
- Organization and attention to detail, especially meeting deadlines
- Some knowledge of the relevant procedures, rules, regulations, and policies of donors
- Knowledge of project management principles, practices, techniques, and procedures.

- Strong planning, organizational, and interpersonal skills

Additional information
Conditions
- Status: Mongolian fixed-term contract of 5 months, renewable
- Salary: Competitive, according to Geres Mongolia salary scale
- Paid leaves: 15 days for a full year of employment calculated pro rata for the period of employment.
- Duty station: Position based in Ulaanbaatar with regular field trips to Ger areas
